How to Access This Page

To access the Service Auth report page, head to "Reports" > "Service Auth".

Tabs

On this page there will be 3 tabs in the upper right corner — $, $Reports, and Effective Rates. 
Each tab will have it's own unique functionality.


$ (Mass Service Rate Update)

The first tab that appears in the upper right corner is the “$” tab. This tab, known as the mass service rate update feature, is used when rates increase/decrease.

Rather than going in and making changes to each service authorization individually, this tab allows all service authorizations to be changed at once — cutting down the work time!

  
Clicking on this tab, a pop-up will appear with the following fields to fill out

  • Payer
  • Procedure Service Code
  • All Modifiers (Incl. No Modifier)
  • Rate Effect — Select whether this is a temporary or permanent change.
  • Effective Start Date
  • Effective End Date — If the "Rate Effect" selected was "Permanent", this field will not appear.
  • Change Effect
  • Rate Type
    • Flat Rate: This option would be used to be able to type in the new rate, the dollar amount.
    • Percentage Increase: This option would be used to input in the percentage change, the current rate would then be adjusted by the percentage entered.
    • Flat Rate Increased: This option would be used to input in the dollar amount of the change, the current rate will then be adjusted by the dollar amount entered. 
  • Rate

After filling out the mass service rate change information, click on the "Save" button.


$Reports 

When visiting the Service Auth report page, you will automatically be taken to the $Reports tab. This tab is a snapshot of service authorizations that have been input into the system.

At the top of the screen there will be filter fields for client, payer, and dates —make sure to click on the blue refresh arrows after making selections in these.

To the right of the filter fields, there will be a button with an icon of a printer on it.

Clicking on this will allow you to download a CSV or PDF of the filtered results.

Additionally, after selecting a client in the "Select Client" field, you will have the option to download a utilization report. 

Clicking on "Utilization Report", a pop-up will appear on which the service authorization the utilization report to be run will be selected on.

Turn the "Service Auth (Show All)" toggle to the "Yes" position to see expired service authorizations.

After selecting the service authorization, click on the "Generate Utilization Report" button to download the utilization report.

Below the filter fields there are several headings — Without Service Auths, 30 Days, 60 Days, 90 Days, Over (+), Unders (-), and Not Billable.

Clicking on any of these headings will cause a pop-up to appear that displays additional information. 

While the information can be reviewed right on the pop-up, a CSV or PDF of the information can also be downloaded by clicking on the respective button of the file type.


Effective Rates 

To review rate increases/decreases, head to the “Effect Rates” tab.

Any rate changes that have been input will display on the table. To locate a specific rate change, use the search fields at the top of the table.

If an effective rate needs to be removed, click on the “trash can” icon under the “Action” heading in the table to do so.
