Automatic Missing Caregiver Signature Capture Request

If a caregiver's signature is not captured during clock out, but is required, Billiyo automation kicks in to help obtain it.

Quick Notes

  • This feature is currently available for the Billiyo Caregiver mobile app, version 2.32.27 (Apple) and higher.
  • It's primary focus is to notify and capture missing caregiver signatures on schedules when their signature is required.
  • When signatures are missing from a schedule, they'll will appear within the "Schedules Approval" page (under their respective "Missing Signature" filter). However, they cannot be used in a timesheet until signatures are obtained.

 

Example Scenarios

There are two scenarios currently in which the AI-powered signature capture will run: 

  1. If the system failed to capture a signature at the point of clock out, even though it is required, due to a technical error.
  2. If the client caregiver connection was set to "Do not require client and caregiver signature" and was later updated to "Require client & caregiver signature" in the "Caregiver Settings" field.

Additional information about #2

When "Do not require client and caregiver signature" is selected within the "Caregiver Settings" field of a client caregiver connection, caregivers will not be asked to provide their signature when clocking out of a schedule. 


If at a later time, the client caregiver connection is updated to require caregiver signature ("Require client & caregiver Signature"), the AI-powered signature capture will kick in to collect signatures on any worked, non-approved schedules.

 

 

Caregiver App Experience

If a caregiver does not enter their signature at the time of clock out, but signature is required, they'll receive an in-app alert 5 minutes after clock out occurs. 


To enter their signature, the caregiver touches on the button. Doing so will take them to a signature capture screen to submit their signature.

After their signature has been submitted, the schedule will be visible within the "Schedules Approval" page under the "All Schedules" filter — unless additional signatures are missing. 


Caregivers will have the ability to dismiss the in-app alert as well, by touching on the button.

If they do so, when clocking into a new schedule with the same client the in-app alert will appear again asking them to sign the schedule(s) with missing signatures.


If signatures are missing from schedules with multiple clients, caregivers can touch on the client name field at the top to switch between clients.
