Allow Clients to Sign Once for Worked EVV Schedules

After employee clock-out has occurred, clients can add their signature to multiple worked EVV schedules at once with the "Sign Once" feature.

Quick Notes

  • Before enabling and using "Sign Once" it is important to verify with your state and payers that you are permitted to do so.
  • This feature is for EVV schedules, setup is required and based on individual client caregiver connections.
  • Worked schedules will appear in the "Schedules Approval" page after the employee clocks out, but cannot be approved or used in a timesheet until the client signs.
  • Signatures are captured within the client portal or the Billiyo Caregiver app.

 

Enabling the "Sign Once" Feature

To enable "Sign Once" functionality, in the left menu navigate to:

More > Company > Company Settings


Within the "Configurations" tab, click on the icon in the upper right corner of the screen. On the pop-up that appears, locate the "Enable Sign Once" checkbox.

✋Before checking the "Enable Sign Once" checkbox, it is important to verify with your state/payers you can use this feature — you will be required to confirm that you have done so.


After making changes, click on the button to save. 

 

Setting Who Can Use the "Sign Once" Feature

Who is able to use the "Sign Once" feature is set at the client caregiver connection level.  When adding new client caregiver connection or editing an existing one, the following criteria must be met to see the option for "Sign Once" appear:

    • "Enable EVV" or "Enable EVV and Geo Tracking" is selected within the "Electronic Visit Verification" field
    • "Require client & caregiver signature" is selected within the "Caregiver Settings" field


    To allow it to be used, check the "Sign Once" checkbox.

    After confirming and clicking on the button, click on the button.


    With "Sign Once" allowed:

    • When a caregiver clocks out of a schedule, the client's signature will not be asked for.
    • The worked schedule will appear in the "Schedules Approval" page after the caregiver clocks out, but cannot be approved or used in a timesheet until the client has provided their signature.

    Capturing a Client's Signature

    There are two ways a client can add their signature to worked schedules:

    Clients can login at billiyo.com with the username and password created for them

    All worked schedules that need to be signed will display within the "Pending Signatures" section.


    Next to each schedule, a checkbox will appear:

    • To sign only a few schedules, not all, select what schedules to sign by clicking the checkbox next to them.
    • To sign all schedules that appear, use the "select all" checkbox at the top to quickly check all.

    After checking which schedules are to be signed, a button will appear. Clicking on this will cause a pop-up to appear. Within the pop-up the client should:

    • Review their information
    • Enter their signature in the "Signature" field and click on the button


    Upon clicking the button:

    • The pop-up will close
    • The signed schedules will no longer appear in the "Pending Signatures" section
    • The schedules can be approved and used in a timesheet ("Schedules Approval" page)

    Billiyo Caregiver App

    With our Billiyo Caregiver app, either the client or caregiver can log in with their user account.

    If the client logs in, the schedules that need their signature will appear within the tab.

    If the caregiver logs in, the schedules that need the client's signature will appear within the tab under the "Pending Signatures" section.


    The sign once process is the same, regardless of who logged into the app — client or caregiver. When reviewing schedules: 

    • Touch on the schedule to review it's details.
    • Swipe right once on a schedule to select it, swipe right on it again to deselect it.

    Once all schedules have been selected, touching on the ✔️ in the upper right corner will bring the user to the signatures screen to input a signature.

    Once the signature has been submitted, the schedules can be approved and used in a timesheet ("Schedules Approval" page).
