Allowing Clients to Sign Once for Worked EVV Schedules

This feature is only available for our caregiver app currently, but we are planning to release it for our clinical app in a coming update.

This feature feature can now be managed from within the company settings page!


Important to Know

The sign once feature can be helpful in cases where a client, or their responsible party, is not able to sign at the time of a caregiver clocking out of an EVV schedule. If there are multiple schedules that need to be signed, it reduces the amount of work the client has to do.

There are few items that are important to know about this feature:

  • Before enabling this feature, you must verify with DHS that you can use this functionality. You will be asked to confirm you have verified this with DHS when enabling in Billiyo for a client caregiver connection.
  • Setup is required and is based on individual client caregiver connections.
  • After a caregiver clocks out, and no client signature is obtained, the schedule will be visible in the schedules approval page. However, it cannot be approved or generated in a timesheet until the client signs it.


Setup


Enabling the sign once functionality requires some setup to be done within the company settings page and in the client caregiver connections you'd like to use this feature for. 


Company Settings

To enable the sign once feature in your account, navigate to:

More > Company > Company Settings


Within the Configurations tab, click on the to edit your account settings. On the pop-up that appears, locate the Enable Sign Once? checkbox. 

If the checkbox is checked, as pictured below, the sign once feature is enabled for your account.

 

Client Caregiver Connection

Whether you're adding a new connection, or looking to use this for an existing connection, both are possible and follow the same setup steps.

    In the client caregiver connection, when Enable EVV  or Enable EVV and Geo Tracking are selected, a checkbox for Sign Once should appear.

    The Sign Once checkbox is what we'll use to set up the sign once functionality; checked means that sign once is enabled, unchecked means that sign once is disabled.


    When checking the Sign Once checkbox, you will see a confirmation message appear:

    Before clicking the button, please make sure that you have confirmed with DHS that you can use this functionality!


    After confirming that you have verified with DHS that you can use this functionality, click on the button.

     


    Caregiver App Experience

    The caregiver can sign into the mobile app with their username + password or the client can sign in with their username + password for this.


    With the sign once functionality enabled, while caregivers are able to get the client's signature at the time of clocking out, they will not be required to. 

    If a schedule is not signed by the client at the time of clock out, it will appear in the following places after the caregiver successfully clocks out.

    The sign once process is the same, regardless of who logged into the app — client or caregiver.

    Any schedules that appear can be touched on to review the schedule detail information. After review, going back, the schedule can be selected by swiping it to the right.

    Swiping right once selects a the schedule, swiping right on it again unselects.


    Once all schedules have been selected (swiped), touch on the ✔️ that appears in the upper right corner of the screen. A client signature screen should appear, this is where the client enters their signature and then submits.

    At this point, the schedule can now be approved and a timesheet generated with it from within the schedules approval page.
