HHAeXchange (HHAX) Admission ID

Enter a client's assigned admission ID for those who have multiple records in HHAeXchange's system.

Quick Notes

  • The information in this article pertains to Minnesota.
  • Admission IDs are auto-assigned when a client's profile is created in HHAX's system.
  • If multiple records for a client exist in HHAX's system, the "Admission ID" assigned to the client by HHAX needs to be submitted with visit data. In these cases, if the "Admission ID" is not present, the error/status below will appear for visits in the "EVV Report" page.

 

 

 

The HHAX Admission ID Field

Admission IDs are auto-assigned when a client's profile is created in HHAX's system.

In the "Add/View SA" page, a field for "HHAX Admission ID" will display when adding or editing a service authorization. 

 

💡Recommended: Upload HHAX's "List of Patients" report into Billiyo to fill out this field.
    Steps on how to do this can be found below.



Upload Multiple Client HHAX Admission IDs

To add multiple client admission IDs at once, download the "List of Patients" report from HHAX's system and upload this within Billiyo. 


Step 1: Download HHAX "List of Patients" report

  1. Log into HHAeXchange
  2. Open the "List of Patients" report ("Report" > "Patients" > "List of Patients") 
  3. Check the following checkboxes:
    • Section 1: Contract Name, Contract Type
    • Section 2: First Name, Last Name, Admission ID, Medicaid Number, Patient ID
  4. Click on the "Print Excel" button

Step 2: Upload report into Billiyo

✋ Before performing the following steps, the "Header & Filter" worksheet/tab must be deleted from the HHAX "List of Patients" file that was downloaded.

  1. Log into Billiyo
  2. Open the "Company Settings" page ("More" > "Company" > "Company Settings")
  3. Click on the "EVV Setup" tab
  4. Scroll down to the "Import HHAX Patient AdmissionID's" section
  5. Select or drag the HHAX report into the "Click or Drop files to upload" field
  6. Click on the  button

Upon successful import, the "HHAX Admission ID" field within service authorizations should be automatically filled out with the information from the uploaded report.


No further action is required after upload. Billiyo will automatically resubmit rejected EVV visits that were showing the following error/status:

Multiple Member records found based on Qualifier value. Please provide unique identifier.
