Creating and Managing Available Shifts

If an existing schedule can no longer be worked by the assigned employee or you're working on building out a client's schedules prior to employee assignment, utilize the available shifts feature to help.

Quick Notes

  • With the available shifts feature, schedules can be created without assigning an employee or edited to remove the employee without needing to assign a replacement right away. 
  • By default, mobile app users will only see available shifts for clients that are assigned to them via the client caregiver connection. However, this can be changed to allow them to see all, regardless of connection.
  • Once a pick up request has been submitted, office approval is needed to complete the shift assignment. 
  • The words "shift" and "schedule" will be used interchangeably throughout this article.

Make a Schedule Available


The process of making a schedule available is done within the "Scheduling" page. To access this page, click here or in the left menu navigate to:

Scheduling > Scheduling


There are three ways to make a schedule available:

  • When creating a new schedule, don't select an employee within the "Employee" field.
  • When editing a single schedule ("Edit This Schedule"), click into the "Employee" field and then on the employee's name to remove them.
  • When editing multiple schedules ("Mass Update"), click into the "Employee" field and then on the employee's name to remove them.

When editing, upon removing the employee, a new field will appear — "Pay Rate". By default the employee who takes the schedule will be paid their normal base rate. However, if you would like to pay a different rate instead, enter the rate in the "Pay Rate" field. 


Upon saving/updating, no employee name will appear on the schedule and it will appear with a yellow background. 

Create an Available Schedule Edit to Make Available

 

Manually Assign an Available Shift to an Employee

When an available schedule is ready to be assigned to an employee, navigate to the "Scheduling" page. To access this page, click here or in the left menu navigate to:

Scheduling > Scheduling


After locating the schedule(s), click on them and select either:

  • "Edit This Schedule" if it's just 1 schedule that needs to be assigned
  • "Mass Update" if there are multiple schedules in the services that need to be assigned

Once in the edit mode, select the name of the employee in the "Employee" field. Then, click on save/update to complete the assignment. 

 

Allow Mobile App Users to See All Available Shifts

If you'd like to allow them to see all available shifts, regardless of connection, in the left menu navigate to:

More > Company > Company Settings


On the pop-up that appears, locate and check the checkbox for "Show available shifts to unconnected clients".


Click on the button to save if any changes were made.

 

Approve or Reject Available Shift Pick Up Requests

Available shift pick up requests are viewed and managed within the "Available Schedule" page. To go to this page, click here or in the left menu navigate to:

Scheduling > Available Schedule


Within this page, all available shift pick up requests in which the employee said they could work the schedule will appear.

The contents within the table can be filtered down by client, using the "Select Client" field at the top of the screen. After selecting a client's name, click on the to refresh the table results.


To review a request, click on the icon to the right of it. On the pop-up that appears, you can:

  • View the available schedule details
  • See when the employee requested to pick up the available schedule
  • View any remarks that were left, and leave remarks in the "Action Remarks" field.

When you're ready to take action, check the checkbox next to each available schedule that you want to take the same action for and:

  • Click on the button to approve the pick up request and complete the schedule assignment.
  • Click on the button to deny the pick up request.

Upon completion, the mobile app user will receive a notification letting them know if they've been assigned or not. 

Accepted (Assigned) Rejected (Not Assigned)
