Use Billiyo's "BilliyoBot", an AI-powered tool, to automatically create care plans and schedules.

This feature is currently available to a small number of accounts as part of an early release. We’re expanding access gradually, so stay tuned!
- Setup is required.
- A service authorization, care plan and schedules must already exist for the client and procedure code + modifier in order to use the automation tool.
- "BilliyoBot" is an AI-powered tool that is used for this feature.
Enable/Disable Automatic Creation
To manage automatic schedule creation, in the left menu navigate to:
More > Company > Company Settings
Next, click on the "Configurations" tab and then the icon in the upper right corner.
On the pop-up that appears, locate the "Schedule Automation by BilliyoBot" checkbox. If the checkbox is checked this feature is enabled, if it is unchecked the feature is disabled.

Conditions for Automatic Creation
The following conditions need to be met when adding a new service authorization for automatic creation to occur:
- There is an existing service authorization for the client, payer and procedure code + modifier that exists in Billiyo.
- The number of units for the service authorization being added is greater than or equal to the number of units on the previous service authorization.
- A care plan was created for the previous service authorization so that it can be copied.
- Schedules were created for the previous service authorization so that they can be copied.
Automatic Creation in Action
When using automatic care plan and schedule creation, a service authorization is added via the standard process — learn more about adding a service authorization here.
However, behind the scenes the "BilliyoBot" is working it's magic. Upon saving the service authorization, a confirmation message will appear.

Clicking on the button will stop automatic care plan and schedule creation from happening.
Clicking on the button will copy the existing care plan and schedules, automatically creating new ones for the service authorization that was just added.
Once the "BilliyoBot" completes it's work:
- A new care plan will appear within the "View Care Plan" page. The following information will be copied from the existing care plan: Services, Weekdays (if applicable), Goals, Outcomes
- New schedules will appear within the "Scheduling" page.
After the automation has run, a reminder message that schedules were automatically created will display when filtering for the client within the "Scheduling" page.
Until "Okay" is clicked, the reminder will continue to display upon page reload and will also display in the "Schedules Approval" page when filtering for the client.

Auto-created care plans and schedules can be edited at any time via the standard editing processes.
